Our client, a growing service organization, is looking for an AIA Audit Coordinator
Responsibilities:
This person will gather information, audit vendor invoices, and audit jobs for A.I.A jobs. Prepares necessary support information such as waivers and reports. Performs miscellaneous clerical duties as required to perform this position. Will also provide back-up to the billing of AIA jobs.
Duties:
- Responsible for match-up of all vendor invoices to the Purchase Orders for AIA
- jobs and submits them to payables for payment; and retains a copy in the job file.
- Sends approval request for variances and inputs necessary information via and excel spread sheet for exceptions. Follow up as needed.
- Perform “Match-Up” which includes pulling the job file and matching the invoice and receiver to the purchase order, then returns original invoice to payables to pay in an appropriate time frame to meet the discount requirements and then log the results on the sheet in the back of the file for record keeping. (Watch for Item numbers, model numbers, quantity of product and freight.)
- Review job file documentation for contract related jobs, prepares waivers (in word & excel) for all invoices required; reviews to ensure sworn statements are up to date. Ensures proper waivers are submitted with the vendor invoices to payables with the invoices.
- Performs necessary billings for AIA projects as needed.
- Tracks manufacturer credits for returned merchandise for contract department.
- Provide back up to receptionist for breaks and lunch and more as needed. (Depends on receptionist’s sick and/or vacation schedule)
- Performs miscellaneous duties and responsibilities and special assignments as required.
- Provide audits on profit margins from the beginning of the job to the completion of the job.
- Compare actual to estimates and analysis for specific jobs. Research and report on variances from budget.
Skills:
- Knowledge of Microsoft Word and Excel.
- Must have a good comprehension level of material read and understood. Follow strict guidelines that are accentuated in the contract.
- Good communication skills with the vendor and project manager.
- Accounting knowledge.
